What is the Contracts 365 AI Extraction Companion?
A native feature inside our contract management software that uses Microsoft Azure OpenAI to automatically identify and extract contract metadata, generate contract summaries and risk prioritization, and keep repository data in sync with documents. It’s designed to be “ready out of the box” while also allowing administrators to refine prompts and extraction rules.
Which contract fields and document types can it extract?

It’s built to extract any metadata you use in your CLM. Common examples include Counterparty, Legal Entity, Contract Type, Effective Date, Notice Period, End of Term Date, Governing Law, Payment Terms and more. It can be configured (no coding required) for unique or uncommon fields. (Supports typical contract formats used in CLM workflows.)

How accurate is the AI Extraction Companion?
Out-of-the-box accuracy is reported in the 90th percentile, but final results depend on document complexity and quality. Accuracy can be improved by simple prompt refinements and field-level tuning. As with all AI, Contracts 365 recommends a “trust but verify” workflow with human review for critical fields.
Does the AI need to be trained on my documents? Will you use my data to train models?
No. The Companion uses pre-trained LLMs and Contracts 365’s engineered prompts; it does not require training on your data. Contracts 365 never uses customer data to train the models, and Azure OpenAI models do not learn or update their base knowledge from regular end-user usage within the product. You can, however, refine prompts and rules in-app to improve extraction for your environment.
How does Contracts 365 protect data privacy and security?
The AI Companion is built on Microsoft Azure OpenAI inside the Contracts 365 application and aligns with enterprise-grade Microsoft security. Contracts 365 emphasizes that models are pre-trained and that it does not use customer data for model training. (For enterprise deployments you can review specific security & compliance addenda during implementation.)
What is Pre-Extraction Confirmation?
A pre-check step that displays detected Contract Type and Legal Entity (and other key elements) for user confirmation before extraction writes metadata to the system. This improves downstream accuracy and prevents incorrect writes.
What is the True-Up capability?

True-Up detects changes made to contract text during negotiation and “trues up” the repository after user approval so the document and the stored metadata stay synchronized without losing prior data. It supports audit-ability and triggers appropriate follow-up workflows.

How are extracted values validated and audited?

After extraction users see a side-by-side comparison (Extracted Fields Table) showing existing values vs newly extracted values with statuses such as Read Only, Same Value, Updated, or New. Each field links back to the source text in the document so reviewers can verify the origin.

Can the AI Companion extract from related documents (SOWs, addenda, amendments)?
Yes. Multi-Data Entity Support allows extraction beyond the Contract Record (e.g., SOWs, addenda, amendments, and contract documents) so metadata can be consolidated across the contract landscape.
How customizable is extraction (rules, fields, precision)?

Admins can fine-tune at the field level (e.g., enforce currency or formatting), apply rules by contract/document type, add new metadata fields without coding, and use filterable views for management. Prompt refinements are straightforward and generally require business skills rather than developer effort. 

Does AI Extraction integrate with CRMs or other systems?

Yes, the AI Extraction Companion is CRM-ready and designed to work with Contracts 365’s packaged Microsoft Dynamics 365 and Salesforce integrations, so extracted metadata can populate CRM records and flow across systems.

Do I need Microsoft Copilot to use the AI Companion?

No. Contracts 365 AI capabilities are proprietary to the platform and do not require a Microsoft Copilot license. The AI Extraction Companion integrates Azure OpenAI with Contracts 365’s prompts and administration independently of Copilot. 

How does the AI Extraction Companion help with compliance and risk management?

It reduces manual errors, identifies compliance-related metadata and potential risk factors, generates a prioritized list of risks mapped to business impact (with suggested mitigations and draft negotiation language), and triggers alerts/workflows when values fall outside preferred standards.
