Job Details
We’re looking for a Part-time Office Manager (15-20 hours per week, Monday – Wednesday while we’re onsite) for our downtown Newburyport offices. You’ll assist with AR/AP, light HR work, and help keep the office humming. Must be computer savvy, well-written, well-spoken, and have a great “can do” attitude.
The ideal candidate will have hands-on experience with QuickBooks, strong organizational skills, and the ability to handle a variety of administrative responsibilities in a fast-paced, technology environment.
Key Responsibilities
- Perform light bookkeeping duties, including entering transactions, reconciling accounts, and generating basic financial reports in QuickBooks.
- Assist with HR-related administrative tasks, such as onboarding paperwork, employee record keeping, and benefits coordination.
- Maintain organized and up-to-date digital and paper filing systems.
- Support general office functions, including ordering supplies, managing mail, and coordinating vendor communications.
- Prepare and edit correspondence, reports, and other documents as needed.
- Assist with scheduling meetings, appointments, and company events.
- Provide other administrative and operational support as requested.
Qualifications
- Proven experience with QuickBooks (required)
- 2+ years of office administration or bookkeeping experience preferred
- Basic understanding of HR processes and record keeping
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace
- Strong organizational skills with excellent attention to detail.
- Ability to maintain confidentiality and handle sensitive information.
- Excellent written and verbal communication skills.
- Self-motivated with the ability to work independently and manage multiple priorities.
Schedule & Compensation
- Part-time: 15–20 hours per week (schedule can be flexible within our Monday – Wednesday business hours, 8:30AM - 5:30PM).
- Competitive hourly rate between $35 to $45 based on experience.
